Protecting your data is of utmost importance to us. Our privacy statements for different groups of data subjects offer a brief overview of the personal data we collect and what it is used for.

We, CAMPUS 02 University of Applied Sciences (abbr. CAMPUS 02), Körblergasse 126, 8010 Graz, Austria, process the following personal data automatically as part of alumni administration via the Microsoft Dynamics cloud service:

  • First and last name, gender, date of birth, private email address, title (prefixed and suffixed), telephone number, address data, matriculation number, course information (degree programme, start and end of studies), declarations of consent

This listed data is used on the one hand to carry out quality assurance measures, such as graduate surveys, and on the other hand for use in e-mail communication (e.g. sending relevant information resulting from the Student Life Cycle - such as performance scholarship, summer academy). The processing of this personal data is based on a legal obligation pursuant to Art. 6 para. 1 cl. c in the sense of quality assurance according to HS-QSG as well as on the legitimate interest pursuant to Art. 6 para. 1 cl. f General Data Protection Regulation (GDPR) in a professional external appearance with regard to lifelong learning and in efficient contact management in FH operations.

You will receive further information by e-mail and newsletter (e.g. on study programs) if you have given your consent in accordance with Art. 6 para. 1 cl. a GDPR. Contact regarding any PR and marketing activities as a graduate will also only be made on the basis of your consent. You can revoke your consent at any time with effect for the future at datenschutz@campus02.at . Personal data relating to graduates will continue to be processed via the student administration system (C02online):

  • as part of the graduation process:
    Graduation documents (notification of the award of the academic title, Diploma Supplement, if present at the graduation ceremony - decorative document)
  • as part of the statistical surveys on the occasion of graduation in accordance with § 28 of the University and Higher Education Statistics and Education Documentation Ordinance (UHSBV):

The processing of this data is based on the fulfillment of a contractual legal relationship pursuant to Art. 6 para. 1 cl. b GDPR for the fulfillment of the Study Contract or on the basis of legal obligations pursuant to Art. 6 para. 1 cl. c GDPR in conjunction with UHSBV.

In addition, data is also collected and processed for the organization, handling and documentation of the academic graduation ceremony – “Sponsion” - in particular via e-mail communication. As part of this event, image/video recordings may be made for the purposes of documentation and reporting on the event. By registering for the event, you acknowledge that image/video recordings on which you are depicted may also be published for press coverage and in various (social) media, publications and on CAMPUS 02 websites. If you do not wish to be included in the photo/video recordings, please inform the photographer on site. This data processing is based on the overriding legitimate interest in a contemporary external presentation of the academic environment and events of CAMPUS 02 as well as in maintaining competitiveness on the free market in accordance with Art. 6 para. 1 cl. f GDPR.

In principle, the data listed above is collected directly from you - however, it may be supplemented by system-generated data for the processing of performance assessment data.

The disclosure and processing of the above-mentioned personal data is voluntary and serves to fulfill the contract. Without the disclosure and processing of your data, the conclusion and fulfillment of a Study Contract is not possible.

In order to provide proof of graduation, we retain the graduation documents and the associated master data in accordance with Section 13 (8) of the Universities of Applied Sciences Act (FHG) for a period of 80 years, calculated from the end of the academic year in which the Study Contract ends.

The private e-mail address requested as part of the statistical survey is generally deleted 10 years after the end of the academic year in which the studies were successfully completed.

All data collected for the organization of the graduation ceremony will be deleted after 3 years at the latest, calculated from the end of the calendar year in which the academic ceremony took place.

The data collected by us for information on lifelong learning or a professional external appearance (such as photos), the processing of which is based on the legitimate interest pursuant to Art. 6 para. 1 cl. f GDPR, will be processed for as long as necessary for the data processing purposes. In the case of image/video material in particular, this depends on the nature, content and environment of the recordings and whether they are suitable for use in reports/writings - e.g. to present moments in the history of the UAS - and for external presentation on the web/social media. You have the option of submitting an explicit objection at datenschutz@campus02.at .

If the processing takes place on the basis of the declaration of consent, you can also revoke this at any time by e-mail at datenschutz@campus02.at , whereby the legality of the data processing carried out until the revocation remains unaffected by the revocation.

The retention period may be extended in all cases where judicial or administrative proceedings are pending in which CAMPUS 02 UAS has party status and in which this data is at issue.

Your personal data is treated as confidential and is generally processed only by CAMPUS 02 UAS staff members internally.

Processors employed by us may also process data for us to fulfill the purposes described if they offer sufficient guarantees for the security of the data. The above-mentioned data categories are viewed and processed, for example, by external IT service providers in the event of support or by the photographers commissioned for graduation ceremonies.

We transfer personal data to the Agency for Quality Assurance and Accreditation Austria (AQ Austria), Renngasse 5, 1010 Vienna, Austria, based on Art. 28 para. 3 of the Act on Quality Assurance in Higher Education (Hochschul-Qualitätssicherungsgesetz, HS-QSG) in connection with Art. 23 para. 1 and 4 of the FHG and on the Regulation governing the provision of information on UAS degree programmes (Verordnung zur Fachhochschul-Bereitstellung von Informationen über den Studienbetrieb).

The student administration system C02online, where relevant personal data on the Student Life Cycle is processed, is managed by the processor CAMPUSonline (Wastiangasse 6, 8010 Graz).

We use the Microsoft “Office 365” cloud service (e.g. Dynamics, Outlook) for our email communication and contact management. Hosting takes place primarily within the European Union in accordance with European data protection law. Individual services and technical support may also be provided outside the European Union. Some of your profile data (e.g. name, password, PUID number) may therefore also be subject to access from the USA.

On July 10, 2023, the European Commission adopted an adequacy decision on the Data Privacy Framework (data protection agreement between the EU and the USA). If providers in the USA certify themselves in accordance with these data protection requirements (which, among other things, restrict access to data by US authorities and provide legal protection for EU citizens), an adequate level of data protection is generally guaranteed for data transfers. Microsoft has undergone this self-certification. The data transfer can therefore be based on the adequacy decision on the Data Privacy Framework as a valid legal basis for data transfers to the USA. Furthermore, the standard contractual clauses and additional technical and organizational measures guaranteed by Microsoft also apply. Please note that we will update this privacy statement from time to time (e.g. due to law amendments, usage of new technology, new study opportunities). We recommend that you regularly check it for updates.
