We, CAMPUS 02 University of Applied Sciences (abbr. CAMPUS 02 UAS), Körblergasse 126, 8010 Graz, Austria, process the following data categories by automated means in the course of application management:
Applicant master data (name, title, gender, citizenship, social security number/alternative code, date of birth, matriculation number, e-mail address); address data; contact details; admission criteria for Bachelor’s or previous programme; admission criteria for Master’s; further training certificates; professional experience; application documents; application data; results of application test; results from analysing your application documents and education/training history; results from the personal interview with the Admission Committee; and data for statistical processing (PR).
In general, we collect the above-listed data directly from you. If you do not have an Austrian social security number and have not yet been given an alternative code, we will request one for you from Statistics Austria. Besides your application data, we accumulate system-generated data about you (e.g. application ID). To place your application in rank order, a testing system and our admission committee analyse and evaluate the information provided by you during the application process.
In addition, CAMPUS 02 UAS offers those applicants who do not have a general university entrance qualification, but do have relevant professional qualifications, the opportunity to take additional exams by CAMPUS 02 UAS and coaching units. If it is not possible to do these onsite at our premises, they can be taken online. The following data categories are also processed within the scope of these additional examinations: Applications and results of the additional examinations as well as proof of subject-relevance.
If, according to the information on the website, an admission test is planned for the application procedure, the admission test can be completed or streamed online via Microsoft Teams. Among other things, your name, picture, voice and meeting chat will be processed. Before the start of the admission test, all applicants will be informed about the basic procedure in an online meeting. It is possible to see the names and, if applicable, the picture of other applicants. The identity check and the actual admission test then take place separately for each applicant in a separate breakout room. The oral interviews can also be conducted as video conferences (either via MS Teams or Zoom). Before the start of the interview, you will receive an invitation link by email. In the online meeting, a screenshot of you with your ID may be taken to identify you in order to guarantee your identity and prevent fraud. In the virtual room it is possible to see the names, the email address, if applicable the picture of other applicants and possible chat histories.
Communication with you as an applicant is also managed via our CRM system Microsoft Dynamics 365, where individual data such as your master data and contact details are stored and you receive messages about the current process via this system. When sending these messages, we can track - both in summarised reports and in relation to individual recipients - whether, when and how often messages were delivered, opened, clicked on and how many links/pages contained therein were accessed. During delivery, it is also possible to see why a message could not be delivered. When a message is opened, so-called web beacons are stored. The browser, operating system and time stamp can be viewed on an individual basis in our CRM system. The retrieval locations can also be viewed, although data is displayed here in aggregated form and cannot be traced back to a contact. These insights are used to interpret reading behaviour and to efficiently process on-boarding campaigns.
Due to the pre-contractual legal relationship established according to Art. 6 para. 1 cl. b of the EU General Data Protection Regulation (GDPR) and Art. 11 of the University of Applied Sciences Studies Act (Fachhochschulgesetz, FHG) in connection with our General Admissions Regulation, we process your data for the purpose of managing your application.
The data processing is also based on our legitimate interest pursuant to Art. 6 para. 1 lit. f GDPR in the handling of a proper admission procedure, the selection of suitable applicants, and the implementation of an onboarding process for applicants, as well as in efficient contact management within the university operations.
You have no legal obligation to provide us with your data. However, you can only apply via our online application system. If you do not provide the information we request through the system, applying at CAMPUS 02 UAS and consequently, entering into a study contract with us is unfortunately not possible.
If you have given us your consent to send you newsletter via our CRM system, your contact data will be processed for this purpose in accordance with Art. 6 para. 1 lit. a GDPR. You can revoke this consent at any time at datenschutz@campus02.at or according to the information at the end of the newsletter.
If you have registered on our application platform but have not applied for a Degree Programme or have discontinued the application process, your contact details may be used as a result of (pre-)contractual measures (Art. 6 (1) lit. b GDPR) and on the basis of legitimate interest (Art. 6 (1) lit. f GDPR) in improving the quality of the admissions process and in exchanging information after you have discontinued your application, provided that there is a temporal connection between your registration and the measures of CAMPUS 02 UAS aimed at/purposed by the contact (e.g. to contact you for the purpose of conducting a feedback survey, for one-off information about new application deadlines or current information evenings...).

If you decline an offer for a study place or you are denied a study place, the data you provided or which were generated during the admission procedure will be deleted after three years, starting from the beginning of the academic year you have applied for.
If your application is successful leading to the conclusion of a study contract and to your admission to CAMPUS 02 UAS, your data will be added to your student record.
The retention period may be extended in all cases where judicial or administrative proceedings are pending in which CAMPUS 02 UAS has party status and in which this data is at issue.
It is possible to request that data be anonymised instead of deleted. In this case, any references to persons are irreversibly removed. Consequently, erasure obligations from data protection laws do no longer apply.
According to the FHG, we are obliged to conduct an admissions procedure to place applications in rank order based on performance-related criteria in the event that the number of prospective applicants for a Degree Programme or organisational form exceeds the number of available admission places. The admissions procedure to be applied is stipulated in the General Admission Regulations of CAMPUS 02 UAS and the respective Study Regulation (https://www.campus02.at/en/studium-lehre/satzung/).
As part of the admission procedure, all applicants must register online and submit an online application in the C02online system (https://online.campus02.at/.), upload application documents and complete an admissions interview. An admissions test can be carried out as an additional procedural step, provided that this information has been published on the website in good time for an application year.
The oral admission interviews and, if necessary, admission tests can be conducted as video conferences.
In the event that the number of applicants exceeds 2.5 times the number of available admission places for a given degree programme or organisational form, a negative admission decision can already be taken before all procedural steps have been completed, according to the ranking based on the procedural steps already completed (for more information, please refer to § 5 of the General Admission Regulations). This process is entirely accompanied by the team of the degree programme. If you have any objections regarding a negative admission decision, please contact us explaining your point of view.
Your personal data is treated as confidential and is generally processed only by CAMPUS 02 UAS staff members internally.
However, data processors who have been commissioned by us can also process data for the purposes mentioned if they can ensure adequate data security. For example, the above-mentioned data categories can be viewed and processed by psychologists in admission committees and, in cases where support is required, by external IT service providers such as Schuhfried GmbH within the framework of the use of their software “Wiener Testsystem” for handling our admissions test as well as CAMPUSonline/TU Graz with regard to the system for registering and submitting an application and the application documents and Softwaregärtner GmbH for the provision and maintenance of the system for managing all procedural steps of the admission procedure and enrolment.
Communication with you as an applicant is also managed via our CRM system Microsoft Dynamics 365, where individual data such as your master data and contact details are stored and you receive messages via this system during the current process. The Microsoft Teams cloud service from Microsoft ‘Office 365’ is used for streaming the admission test. We use Microsoft Teams and the ‘Zoom’ tool from Zoom Video Communications, Inc. to conduct oral admission interviews, additional examinations and coaching sessions.
Hosting in the course of Microsoft Teams and Microsoft Dynamics 365 is mainly provided within the European Union in accordance with European data protection laws. Some services and technical support can also be provided from outside of the EU. Some of your data may therefore also be stored in the USA. On July 10, 2023, the European Commission adopted an adequacy decision on the Data Privacy Framework (data protection agreement between the EU and the USA). If providers in the USA certify themselves in accordance with these data protection requirements (which, among other things, restrict access to data by US authorities and provide legal protection for EU citizens), an adequate level of data protection is generally guaranteed for data transfers. Microsoft has undergone this self-certification. The data transfer can therefore be based on the adequacy decision on the Data Privacy Framework as a valid legal basis for data transfers to the USA. Furthermore, the standard contractual clauses and additional technical and organizational measures guaranteed by Microsoft also apply. According to the Documentation in Education Act (Bildungsdokumentationsgesetz) and Art. 2 of the Documentation in Education Regulation for Universities of Applied Sciences (Bildungsdokumentationsverordnung-Fachhochschulen, BIDoKVFH), we have a legal obligation to transfer applicant data to the Federal Ministry of Science, Research and Economy via the Agency for Quality Assurance and Accreditation Austria (AQ Austria).
Apart from the data recipients mentioned, CAMPUS 02 UAS does generally not disclose information to third parties. Third parties are asked to directly contact the prospective student/applicant.
You can withdraw the consent allowing us to send you information on our degree programmes and events by e-mail and/or via newsletters at any time by contacting datenschutz@campus02.at. The withdrawal of consent shall not affect the lawfulness of data processing based on consent before its withdrawal.
Please note that we will update this privacy statement from time to time (e.g. due to law amendments, usage of new technology, new study opportunities). We recommend that you regularly check it for updates.
In general, you have right of access, the right to rectification, to erasure, to restrict, to data portability, to withdraw and to object.
