As the funding provider, the ÖFF subsequently processes evaluation data transmitted by CAMPUS 02 UAS in order to grant funding and process the funding contract.

In principle, we do not wish to collect any personal data from you as a survey participant, but we will ask you questions about your impressions and assessments. Registration or providing your name is not required for participation, which is why it is generally not possible to draw conclusions about individuals or identify you or other participants in the survey. In addition, the results of this survey (e.g. final reports etc.) are processed exclusively in aggregated and anonymized or pseudonymized form.

The personal data collected during registration will be deleted after the end of the project in March 2026. Participant lists (containing only name and signature) and raw survey data will be deleted after 10 years, calculated from the end of the project, in order to verify/prove that the funding has been used for the intended purpose in accordance with the funding agreement or data processing agreement. The data collected by us for documentation purposes in accordance with the provisions of the funding contract (e.g. photos) will be processed for as long as is necessary for data processing purposes. In the case of photo/video material in particular, this depends on the nature, content and environment of the recordings and whether they are suitable for use in reports/writings and for the external presentation of the project on the web/social media.

Your personal data will be treated confidentially and will only be processed internally by responsible employees of CAMPUS 02 UAS (as data processor) and ÖFF (as data controller).

The ÖFF may transfer personal data to the following bodies

  • Commissioned data processors by the federal government, provided they are necessary for the fulfillment of their services.
  • Public bodies and institutions, such as the Federal Ministry of Finance for processing within the framework of the transparency database and/or within the framework of the legal obligations under the Federal Budget Act 2013, the Federal Chancellery, the Financial Procurator's Office, EU institutions and other grant-awarding bodies or the Court of Auditors (on the basis of the Court of Auditors Act 1948)
  • Courts, administrative authorities and legal representatives in the event of the enforcement of or defense against legal claims
  • Public authorities at federal and provincial level may receive scientifically utilized knowledge gained from the project for documentation purposes or due to reporting obligations

Sub-processors employed by CAMPUS 02 UAS may also process data in order to fulfill the purposes described if they offer sufficient guarantees for the security of the data. The above-mentioned data categories are, for example, viewed and processed by external IT service providers such as Microsoft in the event of support.

Data transfer to the USA

The registration data collected is processed via Microsoft Dynamics and/or Microsoft Forms, whereby in the second case the data is subsequently transferred to the Microsoft Dynamics CRM system to manage the flow of information for all events. Evaluations are also carried out via Microsoft Forms. Hosting takes place primarily within the European Union in accordance with European data protection law. Individual services and technical support can also be provided outside the European Union. Data transfer to the USA is therefore possible in principle.

On July 10, 2023, the European Commission adopted an adequacy decision on the Data Privacy Framework (data protection agreement between the EU and the USA). If providers in the USA certify themselves in accordance with these data protection requirements (which, among other things, restrict access to data by US authorities and provide legal protection for EU citizens), an adequate level of data protection is generally guaranteed for data transfers. You can check which providers are included in the list here:https://www.dataprivacyframework.gov/s/participant-search

Microsoft has undergone this self-certification. The data transfer can therefore be based on the adequacy decision on the Data Privacy Framework as a valid legal basis for data transfers to the USA. Furthermore, the standard contractual clauses and additional technical and organizational measures guaranteed by Microsoft also apply. Further information on data processing can be found in Microsoft's privacy policy (https://www.microsoft.com/de-de/privacy/privacystatement).

The photos and/or video recordings published in connection with the project are subsequently processed by the respective social media services used (e.g. Facebook, Instagram, LinkedIn, YouTube) and may be transferred to countries outside the EU. Data transfer to the USA cannot be ruled out. You can find out what information these providers receive and how they use it at the following links: https://www.facebook.com/privacy/explanation (Facebook and Instagram), https://www.linkedin.com/legal/privacy-policy?_l=de_DE (LinkedIn), https://policies.google.com/privacy (YouTube). The way in which these providers use the data for their own purposes, the extent to which activities are assigned to individual users, how long this data is stored and whether data is passed on to third parties is not conclusively and clearly stated and is not known to us.
